Administration & Finance Manager Job Description
We are seeking a highly organized and detail-oriented Administration & Finance Manager to oversee the administrative and financial operations of our organization. The ideal candidate will possess a strong understanding of accounting principles, budget management, and administrative procedures. This role requires a proactive individual with excellent communication and problem-solving skills, capable of managing multiple tasks and ensuring efficient and effective operations.
Key Responsibilities
- Financial Management: Oversee all aspects of financial management, including budgeting, forecasting, financial reporting, and cash flow management.
- Accounting: Manage the accounts payable and receivable processes, ensuring timely and accurate processing of invoices and payments. Prepare and maintain accurate financial records in compliance with relevant regulations.
- Budgeting & Forecasting: Develop and manage the annual budget in collaboration with department heads. Monitor budget performance and provide regular variance analysis. Prepare financial forecasts to support strategic decision-making.
- Financial Reporting: Prepare monthly, quarterly, and annual financial reports, including balance sheets, income statements, and cash flow statements. Analyze financial data to identify trends and opportunities for improvement.
- Audit & Compliance: Coordinate annual audits and ensure compliance with all relevant financial regulations and accounting standards.
- Administrative Oversight: Manage office administration, including vendor management, facilities maintenance, and procurement. Negotiate contracts and maintain relationships with vendors.
- Human Resources Support: Assist with HR functions, including payroll processing, benefits administration, and employee onboarding/offboarding. Ensure compliance with labor laws and company policies.
- Policy Development & Implementation: Develop and implement financial and administrative policies and procedures to improve efficiency and internal controls.
- Team Leadership: Supervise and mentor administrative and finance staff, providing guidance and support to ensure optimal performance.
- Process Improvement: Identify and implement process improvements to streamline administrative and financial operations.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Proven experience (typically 5+ years) in financial management and administration, preferably in a similar industry.
- Strong knowledge of accounting principles (GAAP) and financial reporting standards.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite) and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent analytical, problem-solving, and decision-making skills.
- Strong communication and interpersonal skills, with the ability to effectively communicate financial information to non-financial stakeholders.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Demonstrated leadership and team management skills.
- Experience with budget development and management.
Preferred Qualifications
- CPA or CMA certification.
- Experience with grant management.
- Familiarity with specific industry regulations.
